The Federal Polytechnic, Ile Oluji, Ondo State, FEDPOLEL, has recommited itself to digital transformation of its registry operations in its ongoing drive towards achieving modern institutional administration.
A statement by the Deputy Registrar, Division of Information, Protocol & Passages, Mr Sanmi Enigbokan, said the institution took this decision at its second Registry Retreat on Thursday, September 3.
It held under the theme, “Enhancing Digital Skills and Professional Excellence in Registry Practice for Polytechnic Education in the 21st Century,” at the Institution’s 1,500-capacity Multipurpose Auditorium.
In his speech at the retreat, the institution’s Rector, Dr. Ademola Iyanda Ebeloku, underscored the need for the Registry Department to embrace digital transformation soonest, declaring, “the Registry Department must fully embrace digital transformation in the 21st century.”
According to him, “modern Registry professionals must be lifelong learners who continually update their knowledge and digital competencies.
Stressing that “the future of Registry practice belongs to professionals who are willing to learn, adapt, innovate and uphold the highest standards of integrity,” Ebeloku called on Registry staff to embrace the retreat as a call to action and a step in the right direction towards achieving the Polytechnic’s strategic objectives.
He praised the outgoing Registrar, Mr. Gabriel Adeyemi Awe,for introducing the e-Appraisal System for the 2026 Annual Appraisal Evaluation Exercise, an initiative he said “had significantly reduced the burden and cost associated with the production of the traditional manual appraisal forms.”
According to the statement, “While pledging the Institution’s commitment to supporting and strengthening the capacity of its workforce, the Rector charged participants not to view the retreat as merely another event, but to translate the knowledge and learning outcomes into practical measures that would improve Registry operations and enhance quality service delivery to staff, students and other stakeholders.”
Delivering the keynote address at the retreat, the Ondo State Head of Service, Chief Segun Odusanya, described the theme as “relevant and timely, as it reflects a clear understanding of the realities of today’s rapidly evolving educational landscape and the critical role of technology in modern institutional administration.”
He noted that technology alone could not deliver excellence, stressing that the true value of digital transformation lies in the competence, adaptability and commitment of the people who operate the systems.
Also, he urged Registry personnel to continually improve their digital skills and professional competence in order to effectively respond to the changing demands of modern tertiary institution administration.
Odusanya commended the institution’s Management, particularly the Registry Department, for embracing digital transformation in advancing its vision and mission, and contributing to the advancement of Polytechnic education in Nigeria.
He urged Registry staff to, at all times, “Do your best and be the best.”
Also, the outgoing Registrar, Mr. Gabriel Adeyemi Awe, who delivered a lecture titled “Modern Registry in Polytechnic Education,” highlighted the possibilities and benefits of embracing digital innovation in record-keeping, particularly within the Registry Department.
He stated emphatically that “information is usually lost manually,” stressing the need for institutions to adopt more efficient digital systems for the preservation, retrieval and management of records.
Awe identified intentionality, continuity, regular training by Management, and adequate funding from government as some of the factors that would encourage the effective adoption and sustainability of digital practices in the Registry.
Also, the guest lecturer and current Registrar of Gateway ICT Polytechnic, Saapade, Ogun State, Dr. Popoola Julius Oluseye, in his presentation titled “ICT Tools for Registry Efficiency,” highlighted the overall benefits of applying ICT tools in Polytechnic Registry operations.
These, according to him, include speedy completion of tasks, greater accuracy of data, easy access to information, enhanced security of records and information, and saving of office space through the electronic storage of files and documents.
He elaborated on the need for seamless interdependence in Registry operations for efficient service delivery, as well as the application of relevant ICT tools in Registry administration to guarantee efficiency and productivity.
In his words, “ICT tools in Registry activities are a necessity to get more tasks accomplished with precision at the shortest possible time, with little or no error.”
Also, the Deputy Registrar, Division of Academic Affairs, Mr. Oluyemi Bamidele Adebiyi, who spoke on “Student Records and Registry Operations,” noted that effective student records management provides reliable data for decision-making and supports accountability, continuity, planning and service delivery, particularly for audits, investigations, accreditation exercises and management reviews.
He added that accurate information on student numbers, programmes, admission trends, completion rates, withdrawals and academic performance could help Management make informed decisions on staffing, facilities, budgeting and future programmes.
The last lecture in the series, titled “Ethics, Confidentiality and Professional Conduct in Public Service,” was delivered by the Deputy Registrar, Division of Council Affairs and General Administration, Mr. Rasaq Ola Adebayo.
He emphasised that for public servants to be highly productive in the workplace, they should maintain sound work ethics, confidentiality in the handling of personal information and public records, and professionalism.
He explained that high professionalism leads to citizens’ trust, better compliance, greater cooperation and less wastage in the system, while low professionalism could result in delays, corruption and cynicism.
Adebayo noted that the progress of any organisation depends on the ethical values, trust, accuracy and level of confidentiality maintained by its workforce. He also harped on the need for moral reorientation towards achieving institutional goals.
The well-attended retreat also featured the presentation of Awards of Excellence to deserving friends of the Registry Department.
The awardees included the Head of Service of Ondo State, Chief Segun Odusanya; Chairman of the occasion, Mr. Dele Adesanmi; the Rector of the Institution, Dr. Ademola Iyanda Ebeloku; the guest lecturer, Dr. Popoola Julius Oluseye; the Managing Director, Pathgate Resources Ltd., Mr. Patrick Akinsipe; the Chief Executive Officer, BANDEF Foundation, Mr. Bankole Desmond-Eke; and the outgoing Registrar, Mr. Gabriel Adeyemi Awe.
Similarly, six Registry personnel were honoured with Awards of Excellence in different categories for their commitment, diligence and professionalism. They were:
1. Mr. Damilola Ayodeji Akintunde, Senior Assistant Registrar, Division of Academic Affairs (DAA) — Outstanding Administrative Performance Award of Excellence;
2. Mr. Festus Boluwatife Ogunruku, Senior Assistant Registrar, Rector’s Office — Outstanding Head of Unit Award of Excellence;
3. Mr. Ayodeji Daniel Olugboyega, Assistant Registrar, Division of Personnel Affairs (DPA) — Outstanding Innovative Award of Excellence;
4. Mrs. Effiong Edet Ekpenyong, Assistant Chief Confidential Secretary, Registrar’s Office — Outstanding Confidential Secretary Award of Excellence;
5. Mr. Kehinde Daramola, Principal Executive Officer I, Division of Academic Affairs (DAA) — Outstanding Executive Officer Award of Excellence; and
6. Miss Taiwo Mercy Akintunde, Assistant Chief Confidential Secretary, Registrar’s Office — Outstanding Clerical Officer Award of Excellence.
According to the statement, “The Second Registry Retreat was a huge success, attracting all Principal Officers of the Institution, as well as important dignitaries from within and outside the Polytechnic Community.
“The retreat reaffirmed the Federal Polytechnic, Ile-Oluji’s commitment to digital transformation, continuous professional development, ethical conduct and excellence in Registry practice, in line with the Institution’s strategic objectives and its commitment to delivering efficient and responsive services to its stakeholders.”
